This Privacy Policy explains how we collect, use, share and retain information through our website, package builder, enquiry forms and related business communications.

We process personal information in accordance with the Protection of Personal Information Act, 2013 (“POPIA”), and other applicable South African laws.

For information collected through our website and enquiries, Nexus Project Marketing Pty Ltd is the responsible party.

The information we collect depends on how you interact with us. It may include:

Package-builder information, including your selections, business-fit answers, estimates and requests for additional services.

Information relating to an identifiable business may also receive protection under POPIA where applicable.

Please provide only information relevant to your enquiry. Do not include passwords, advertising-account credentials, identity documents, payment-card details or sensitive personal information in website forms.

3. Information Collected Through the Package Builder

Our package builder helps visitors explore a possible service package and request an estimate or tailored proposal.

Depending on the questions displayed and the choices you make, it may collect:

Your name, business name, email address and telephone or WhatsApp number.
Your website or social-media profile links.
The platforms you would like managed.
Your selected quantities of posts, reels, boosted ads and paid-media campaigns.
Your preferred allocation of posts between platforms.
Your intended advertising budget.
Additional services you select or ask about.
Your business location, approximate employee count, annual turnover range, organisational structure and number of locations.
Notes or other information you voluntarily provide.
Your enquiry-contact consent and acknowledgement of the estimate’s indicative nature.
The resulting package breakdown, estimated pricing, tier, reference number and document dates.

We use this information to prepare your estimate, understand your requirements, assess whether our standard SME pricing is suitable, and respond to your enquiry.

Adjusting calculator selections does not, by itself, send an enquiry or subscribe you to marketing communications. Requesting a package or downloading an estimate may require you to complete and submit the contact form.

When you submit the form, your details and selections may be included in enquiry emails and generated estimate or scope-summary PDFs. These are processed through our website hosting and email systems and made available to authorised Nexus personnel handling your enquiry.

The current package builder does not include a feature that captures abandoned or incomplete forms as sales leads. Technical activity may nevertheless be processed by hosting, security and analytics services as described in this policy.

The package builder does not request payment-card details, take payment for services or collect your advertising budget. Entering an advertising budget is for planning and estimating purposes only.

4. Required and Optional Information

You may browse our website without submitting a service enquiry.

Certain fields are required if you choose to request a package, estimate or proposal. These are identified on the form. Without sufficient contact details or required package information, we may be unable to process your request or respond meaningfully.

Optional fields, such as additional notes or website links, help us understand your requirements but should contain only information you are comfortable sharing.

If you provide information about another person, you should have appropriate authority to do so and make them aware that their information is being shared with us.

We collect information when you:

Complete a website form or submit the package builder.
Contact us by email, telephone, WhatsApp or another communication channel.
Request a consultation, estimate, proposal or service.
Supply a brief or information during a business relationship.

Some technical information is collected automatically by the website, hosting infrastructure, analytics tools and security services.

6. Why We Use Your Information

We use information for purposes connected to your interaction with us, including:

We do not use your enquiry details for unrelated purposes merely because you supplied them to us.

7. Package Estimates and Automated Calculations

The package builder uses your selections and configured pricing rules to calculate an indicative estimate. Business-fit answers may direct your enquiry towards a tailored proposal rather than standard pricing.

These calculations assist with quoting and enquiry handling. They are not credit assessments or final decisions about whether we will work with your business.

You may contact us to explain your circumstances, correct your answers or request a review of the suggested package or routing outcome.

An estimate remains subject to review and written confirmation of the scope and pricing. Its validity period does not determine how long associated personal information is retained.

8. Marketing and Communication Preferences

Submitting an enquiry or requesting a PDF does not automatically subscribe you to newsletters or promotional messages.

Consent to be contacted about an enquiry allows us to discuss that request. It is separate from consent to receive ongoing marketing communications.

Where you opt in to marketing, you may withdraw that permission at any time using the unsubscribe method provided or by emailing info@nexusproject.co.za.

Opting out of marketing does not prevent necessary communications about an active enquiry, agreed services or legal matters.

We may retain a limited record of your opt-out so that we can respect your preference.

9. Cookies and Google Analytics

Our website uses cookies and similar technologies for website functionality, security, remembering preferences and analysing website use.

Our forms use security measures intended to reduce automated submissions, duplicate requests and abuse.

These may include submission-time checks, verification tokens, rate limits, duplicate-detection identifiers and Cloudflare Turnstile where enabled.

Turnstile processes technical signals, including IP address and browser-related information, to help distinguish legitimate visitors from automated traffic. Cloudflare also describes processing for improving its bot-detection capabilities in its Turnstile Privacy Addendum.

The package builder uses hashed identifiers for certain rate-limiting and duplicate-detection functions. A hashed identifier is not necessarily anonymous information.

Our hosting or other security providers may separately process IP addresses, access logs and technical information. If a required security check cannot be completed, a submission may be blocked.

11. When We Share Information

We do not sell your personal information.

We may share relevant information with:

Authorised employees and contractors involved in your enquiry or services.
Hosting, email, storage, backup and technical-support providers.
Analytics and security providers described in this policy.
Professional advisers where necessary for business, legal or accounting purposes.
Authorities where disclosure is required or permitted by law.

Sharing should be limited to what is reasonably necessary for the relevant purpose.

Service providers processing information on our behalf are required to handle it under appropriate instructions, confidentiality obligations and security arrangements.

Some third-party services also process information for their own purposes under their own privacy policies.

12. Processing Outside South Africa

Some hosting, email, analytics, security or communication providers may process information outside South Africa.

Where this occurs, we are required to establish an appropriate basis for the transfer under POPIA. Depending on the circumstances, this may involve suitable legal or contractual protection, consent, or another permitted basis.

We do not treat the mere use of our website as blanket permission to transfer personal information anywhere for any purpose.

You may contact us for information about the providers relevant to your enquiry.

13. Retention and Deletion

Retention periods depend on the information, its purpose and any applicable legal or contractual requirements.

In particular:

Enquiry records and estimates may be retained for follow-up, business administration and legitimate dispute handling.
Client records may be retained for managing services and meeting recordkeeping obligations.
Marketing preferences may be retained while relevant, with limited opt-out records kept to prevent unwanted contact.
Security information is retained according to its operational purpose.
Analytics information is subject to the applicable service configuration and retention settings.

Temporary package-builder PDFs are scheduled for cleanup. Copies sent by email or downloaded by recipients may remain in those locations for longer. Expiry of an estimate or download link does not automatically erase every associated record.

When retention is no longer justified, information should be deleted, destroyed or appropriately de-identified. Backup copies may remain until the relevant backup cycle expires.

14. Information Security

We take reasonable technical and organisational measures appropriate to the information and risks involved.

No website, email system or storage service can guarantee absolute security. We therefore cannot promise that information will never be accessed unlawfully or that every transmission will be risk-free.

This does not remove our responsibility to safeguard information or affect your rights.

15. Your Privacy Rights

Subject to applicable requirements and exceptions, you may:

Ask whether we hold information about you and request access.
Request correction of inaccurate information.
Request deletion where retention is no longer justified.
Withdraw consent where processing relies on it.
Object to processing where the law permits.
Complain about our handling of your information.

16. External Platforms and Client Information

If you communicate with us through WhatsApp, Slack or another external platform, that platform may separately process information under its own privacy policy.

Our responsibilities continue to apply to information we receive and handle. Please avoid sending unnecessary sensitive information through these channels.

Where we process personal information on a client’s behalf while delivering marketing services, the applicable service agreement and processing instructions also govern that work. Clients remain responsible for establishing their own authority to provide information and instruct its use.

Our website and package builder are intended for business enquiries, not for collecting children’s information. Please do not submit information about children unless it is necessary and appropriate lawful authority exists.

17. Changes to This Policy

We may update this policy when our services, website features, providers or legal requirements change. The latest version will appear on this page with its updated date.

Where a change requires additional notice or consent, publishing a revised policy alone will not replace that requirement.

Continued use of the website is not treated as automatic consent to new marketing activities or optional tracking.
